Terms and Conditions of Use
By accessing and using the Xplore Summits website, you acknowledge and agree to comply with these terms and conditions of use. If you do not agree to these terms and conditions, you are not permitted to access or use the site. Xplore Summits reserves the right to modify, amend, or update these terms at any time, and such changes will take effect immediately upon being posted on this website. It is your responsibility to review these terms regularly to stay informed of any modifications.
2. Registration Cancellation Policy
Cancellation:
1. More than 90 Days Before the Event: For registrations cancelled more than 90 days before the event, 80% of the registration fees will be refunded.
2. Between 60 to 90 Days Before the Event: For registrations cancelled less than 90 days but more than 60 days before the event, 50% of the registration fees will be refunded.
3. Less than 60 Days Before the Event: For registrations cancelled less than 60 days before the event, no refund will be issued.
Additional Refund Policies:
1. Service Charge: Refund applicants will be responsible for the service charge incurred due to the cancellation.
2. Bank and Transaction Charges: Any bank or transaction charges incurred while refunding the registration fee will be borne by the participants.
3. Non-Refundable Discounts: Discounted registration fees are non-refundable. However, the fees will automatically be transferred to a future event.
4. Video Presentations & E-Poster: Non-refundable
Hotel Cancellations:
The deadline for hotel cancellations is less than 60 days before the event. Cancellations made after this deadline will not be eligible for a refund.
Refund Processing:
All refunds will be processed only after the event has concluded.
3) Personal Reason Policy
Xplore Summits is unable to provide refunds or compensation for event non-attendance due to personal reasons. These circumstances include, but are not limited to:
• Travel Difficulties: Issues related to transportation that prevents you from attending the event.
• Visa Problems: Inability to obtain the necessary visas to attend the event.
• Health Issues: Personal health-related problems that impact your ability to participate.
• Financial Constraints: Financial difficulties that hinder your participation.
We strongly recommend that all participants make the necessary arrangements and take into account potential personal circumstances before committing to attend our events. This policy ensures that we can maintain a consistent and fair approach for all attendees.
Online Registration:
Registration can be completed from the respective conference website through credit or debit card with international transaction facility through secure online payment gateways. Also, through credit card authorization the online registration can be done.
Offline Registration:
For offline registration the user will be provided with the bank account details with their billing details to complete registration through wire transfer. Please quote your invoice number as a reference. The confirmation will be provided once we receive the payment.
Onsite Registration:
Registration can be completed at the venue of the conference. The acceptable mode of payment is by cash or through credit card authorization.
5) Participant Substitution Policy
If you are unable to attend the event and wish to nominate another individual to take your place, the following conditions apply:
- The designated substitute must possess relevant expertise and have conducted research aligned with the event's theme. They should be prepared to present their research at the event, in accordance with their level of participation.
- Prior approval from the conference committee or Chairperson is mandatory for the registration transfer.
- To facilitate a smooth transfer, please inform our conference secretary of the substitution at least 30 days before the event's commencement.
6) Conference Cancellation or Postponement
In the event that Xplore Summits is required to cancel or postpone the conference due to unforeseen circumstances, all pre-paid registrants will be offered the option to attend the rescheduled event. Please be advised that the organizer or any associated parties will not be liable for any costs incurred by registrants for travel, accommodation, or other personal expenses, whether incurred on an individual or group level.
7) Force Majeure:
Xplore Summits cannot be held responsible for, nor can we provide refunds or compensation in the event that the summit's performance is disrupted or canceled due to unforeseen circumstances beyond our control. Such circumstances include natural disasters such as fires, floods, or earthquakes, severe weather conditions like storms or hurricanes, acts of vandalism or criminal activities, civil unrest including riots or strikes, industrial actions or labor disputes, nuclear incidents or other large-scale emergencies, wars, conflicts, or threats thereof, terrorist activities whether actual or threatened, public health emergencies such as epidemics or pandemics, and any other events or conditions that we could not anticipate or mitigate despite our best efforts. These circumstances may require the postponement or cancellation of the event. In such cases, Xplore Summits will not be liable for any incurred costs, including travel and accommodation expenses.
8) Consent to use Photographic and Video Recordings:
Xplore Summits official photographers will be taking photographs, recording video or making audio recordings during the event. The photographs and videos recordings will be used for event related activities including in the promotional material, in both print and electronic format, including on the Internet via event website and Social media for summit purpose only.
